FINANCE AND ADMINISTRATIVE DIVISION - GENERAL SERVICES UNIT

Position: 
One (1) Project Assistant III
Monthly Rate: 
Php 29,394 (SG-12)
Qualification Standard:

  • Education: Graduate of any 4-year Communication course is an advantage
  • Other Qualifications
    • Must have good oral and written communication skills
    • Must have a background in accounting
    • Must be knowledgeable in computer office applications (MS Office Excel, Word or Access)
    • Must have knowledge in procurement and its laws (i.e RA 9184)
    • Must be efficient in time management, can multi-task, flexible and can work under time pressure with minimal supervision
    • Must be willing to be trained
    • Must satisfy core competencies as follows:
      • Exemplifying Integrity;
      • Delivering Service Excellence; and
      • Solving Problems and Making Decisions

Statement of Duties:

  1. Prepare BAC notices;
  2. Prepare Invitations regarding bidding activities for the BAC, TWG, COA and Observers such as Non-Government Organization (NGO) and duly recognized private group in a sector or discipline relevant to the procurement;
  3. Prepare bidding documents, BAC resolutions and Bid Bulletins;
  4. Facilitate signature by the BAC Members the BAC Resolutions;
  5. Take custody of all bidding documents and other records and ensure that all procurements undertaken by the Institute are properly documented;
  6. Assist in managing the procurement processes; and
  7. Assist in the conduct of bidding activities.

    • Must be knowledgeable in computer office applications(MS Office Excel, Word or Access)
    • Must have an accounting background as an advantage
    • Must have knowledge in procurement and its laws (i.e RA 9184)
    • Must be efficient in time management, can multi-task, flexible and can work under time pressure with minimal supervision
    • Must be willing to be trained

Statement of Duties:

  1. Monitor the submission of Project Procurement Management Plans (PPMPs);
  2. Assist in the consolidation of PPMPs;
  3. Monitor procurements via-a-vis PPMPs and PRs in order to identify deficiencies and make the necessary adjustment of PPMPs for APP updating;
  4. Prepare the Procurement Monitoring Report;
  5. Prepare the Agency Procurement Compliance Performance Indicators (APCPI); and
  6. Prepare monthly status of Quality Objectives on Procurement.

Monthly Rate: 
Php 24,262.80 (SG-10)
Qualification Standard:

  • Education: Completion of two years studies in college, preferably vocational/technician course
  • Training: Eight (8) hours of relevant training
  • Experience: Two (2) years of relevant experience
  • Other Qualifications:
    • Must have Professional driver's license
    • Must have good communication skills
    • Must be willing to be trained
    • Must satisfy core competencies as follows:
      • Exemplifying Integrity;
      • Delivering Service Excellence; and
      • Solving Problems and Making Decisions

Statement of Duties:

  1. Drive Institute's vehicle assigned for official trips of officials and employees;
  2. Maintain cleanliness and proper maintenance of assigned vehicle;
  3. Prepare monthly report on the status of official trips completed;
  4. Prepare purchase request for supplies and materials needed for the upkeep of the assigned vehicle; and
  5. Process the annual insurance coverage with GSIS and LTO registration.
